CORPORATE EVENT PLANNING

The Strategic Intake

We begin with a stakeholder session designed to surface the true measurable objectives behind your event. Not the surface ask, but the actual strategic goals. We want to define success whether it is attendance numbers, brand perception, lead generation, team cohesion, media coverage, cultural alignment. You will also get a chance to do a deep dive into your target audience, market analysis, and your organization itself. With the objectives confirmed, we develop the measurement tools to track our KPI's. We onboard any softwares that we need to support your event planning (or that you have in house). And very crucially, we determine the cross-functionality of our agency with your in-house departments. What you receive: a Strategic Intent document that maps your business objectives to event outcomes and will define how to measure success.

The Experience Brief

We then work on developing the creative and experiential framework. This defines the narrative arc, the audience journey, sensory environment, cultural considerations, and the specific moments the event must deliver. It becomes the creative constitution for the entire project. What you receive: a written Experience Brief shared with your internal stakeholders that is used to align all creative and production decisions.

Production Architecture

We design the operational structure, venue assessment and procurement, run-of-show architecture, technical requirements, vendor and talent sourcing, risk register, and stakeholder communication plan. This will all be scoped against your budget with full transparency. What you receive: a Master Production Plan, confirmed venue recommendations and a critical path with clear milestones and ownership.

Creative Production & Design

We build the physical and experiential world of the event. Environment design, signage and branding integration, programming flow, speaker or performer direction, spatial sequencing and all guest-facing touchpoints are developed and produced here. What you receive: Full Design Presentation, production ready creative assets and a guest experience map from arrival to exit.

Vendor & Stakeholder Management

We manage all external vendors, AV, and production crews, talent, venue, and internal stakeholder assets. Every deliverable will be tracked. Every risk is anticipated, Your team receives structured, regular updates without being pulled into operational decisions.

Execution & Event Leadership

RÜHM leads full on-site execution from load-in through breakdown. We direct all vendors, manage the run-of-show in real time, and maintain the experience standard that your guests and stakeholders expect. Post-event, we deliver a debrief report against your original success metrics. What you receive: seamless event execution and post-event debrief report measuring outcomes against the Strategic Intent Document established at the outset.

Before the Session: Pre-Work Intake

You receive a focused pre-work document to complete before the session. This surfaces the core questions, challenges, and objectives in advance so that our 90 minutes together begin at depth, not at the surface.

The Session: 90 Minute Working Stategy Call

A live, directed session structured around your own specific situation. We move through your event vision, your organizational or personal objectives, your current planning gaps, vendor questions, budget architecture, and creative direction. Wherever support is most needed. Fatima leads, and you receive real answers.

After the Session: The Clarity Document

Within 48 hours of your session, you receive a written clarity document. This captures the key decisions made, directions confirmed, priorities ranked and the next steps assigned. It is a reference document that you can take into any planning conversation that follows whether it is with partners/vendors or your own team.

Before the Sessions: Pre-Work Intake

You receive a focused pre-work document to complete before the session. This surfaces the core questions, challenges and objectives in advance so that we can begin at depth, not at the surface.

Session 1: Situation Assessment & Strategic Foundation

We establish a full picture of your brand, your event, your organization or personal context, your objectives and the specific challenges you are navigating. By the end of the first session we have a shared diagnosis and a clear strategic framework to build on. Your receive a written Session Summary recommendations and insights.

Between Sessions: Applied Work Period

You take the Session Summary output and apply it. You may be making vendor decisions, restructuring budgets, developing briefs, or reviewing proposals. Bring back the results: new questions, new obstacles, and what decisions you made to Session 2.

Session 2: Deep Work: Creative, Strategic or Operational

Session Two goes deeper into the specific layer of your event that requires the most support. This could look like creative direction, vendor strategy, budget architecture, stakeholder management or risk planning. This session is customized based on what your situation calls for. You receive a second Session Summary and updated Direction Document with recommendations and insights.

Between Sessions: Second Applied Work Period

Your implement, test, or develop based on Session 2. You can arrive at Session 3 with your updated work along with remaining questions and whatever has become clearer during the interval.

Session Three: Integration, Decisions & Forward Plan

The final session will be for building a forward plan. This will encompass making decisions, and resolving the outstanding questions. You will leave with clarity on all major unresolved elements and a documented action plan. The Clarity Document delivered after this session is a comprehensive reference covering all three sessions. It captures full strategic output across all three sessions. It will include the decisions made, directions confirmed, risks identified, priorities ranked and the actionable forward plan that we created. This document can be shared with vendors, internal teams or event planners.
